Grouping of Staff Members

With groups, you can gather the school’s staff into specific groups. These groups can then be used in various contexts within Docendo. For example, with one click, you can add a group of employees—such as all teachers or a specific group—to a task. Groups can also be useful in the substitute management schedule overview, where you can filter the daily overview to specific groupings. Groups can also be used to quickly get an overview of the schedules of certain staff groups in the schedule overview.


To create groups:


  • Click on Settings ⚙️ at the top right
  • Click on Groups
  • Click Create new group and name the group (e.g., "Teachers in Grade 5" or "Substitutes")
  • Then add employees to the group either by using the drag-and-drop function (you can select multiple employees at once by checking the checkbox to the left of the name) or inside the group itself under Add staff member.




Use of groups in scheduling


Staff groupings can be used in scheduling by adding groups under **Add teacher **for subjects, resources, and other tasks.
For example, this can be used to quickly plan staff meetings. Under Other calendars, you can create a separate calendar for staff meetings, and inside the calendar add meeting groups by clicking Create course.


You can then add the meeting to the schedule, where you can easily see when all employees in the group are available using the grey shading and the blue time block.


You can also use groups to filter the selection in the schedule overview. The schedule overview is found at the bottom left, where you can use Search and select to choose a specific group to view their schedules in a combined overview.


Use of groups in substitute management


In the substitute management function, groups can be used to see a filtered selection of employees. At the top right, you can select the desired group(s) to find substitutes from a group or to see absentees in a specific group.
